What this is
Photos is where you share a classroom picture or short video, tag every child in it, and publish so families can see it.
Do this
After you sign in, open More, then Photos. Use Gallery to browse; Add photo to publish.
On Add photo, choose a photo or short video first. Then tag children (each shows Photos OK, No photo OK yet or A parent said no; the Everyone with photo OK box ticks them all), optional caption, and Publish. Publish stays off until at least one ticked child has photo OK.
If photo consent is off for a child in the image, do not publish it. Untick that child (with more than ten children, choose × on their name) or choose a different image. A child who shows A parent said no stays out of shared photos; a child with No photo OK yet needs a parent to say yes in Ashby, under Account. Every child pictured must stay tagged.
To delete a photo or video, tap it on Gallery to tick it (a dark frame shows), then choose Delete (1) and OK. Tick several to delete them together. Families no longer see them.
Optional: on Gallery, turn on “Allow parents to add a photo” if your center wants families to upload keepsakes.
How it works
- Mandatory tags
- every child in the picture or video must be tagged. There is no blur or AI guess.
- Photo consent
- each child shows Photos OK, No photo OK yet or A parent said no while you tag. Each parent or guardian chooses Yes or No for each child; photos are OK only when a parent said yes and no parent or guardian said no, so one parent’s yes never overrides another’s no. Publish fails if any tagged child has no photo OK. The message names those children. Families change their answer under Account.
- Photo checks
- Use one JPEG, PNG or WebP image up to 15 MB. Ashby checks the image and removes embedded camera details before sharing it. If a file is refused, choose a fresh copy and publish again. Consent and your access are checked again when the upload finishes.
- Video checks
- Choose a playable MP4, WebM or QuickTime clip up to 90 seconds and 100 MB. Ashby checks the actual video, removes embedded camera details and prepares an MP4 for families. Keep this upload and retry if processing is busy. Choose a fresh clip if file checks refuse it.
- Upload recovery
- New upload links cannot bring a removed classroom file back. Copies already downloaded or saved outside Ashby cannot be recalled.
- About one year
- classroom media uses a one-year default. School policies, recorded holds or later comment dates can keep it longer. Automatic cleanup waits for both the photo and its comments. Families can download keepsakes; storage is not unlimited.
- Family feed
- parents only see media tagged with their linked children. Hearts and short comments are allowed.
