Consents and photos

Review enrollment consent and choose whether to allow photo sharing.

What this is

Consents are about one child. Enrollment (records needed for care) is always required. Photos and extra sharing are separate. Declining photo consent does not affect enrollment.

If you run the program

  1. When you invite a family on Children, they agree to records for care.

  2. On the same screen, each parent or guardian chooses Yes or No for photos and for extra sharing, for each child. Continue waits until they answer, so nothing is saved as a no by itself. A no means we do not do that; they still join.

  3. They can change their answer later in their Account. If any parent or guardian of a child says no, photos stay off for that child, and Photos shows A parent said no.

  4. A family who sends a registration form agrees to records for care on the form. After you approve it, Ashby asks them about photos and extra sharing on their next visit, the same way as everyone else.

If you are a family

  1. After you accept an invite, Your choices explains each choice once. Under each child, tick records for care, then choose Yes or No for photos and for extra sharing.

  2. Photos and extra sharing are up to you. No is a fine answer, and your account still works. Continue waits until every choice has a Yes or a No, then saves them.

  3. Change your answer later under Account. If you choose No for photos, families stop seeing every photo of that child in Ashby, earlier ones and group photos too, until photos are back on; copies you already saved stay with you. If another parent or guardian said no to photos, Your choices and Account tell you (never who).

  4. Filled in your child’s details form? After the program approves it, Ashby asks you about photos and extra sharing once, the next time you open it.

How it works

Each parent or guardian linked to a child decides for themselves. These choices are not the same as the program’s contract with Ashby (Terms, Privacy Policy, and Data Processing Agreement).

When Ashby updates the wording of these choices, each parent is asked again the next time they open Ashby. A photo or sharing yes they gave before stays on until they answer, and records for care need a new tick. Attendance and care never wait on it.

Enrollment / records for care
required. The program cannot skip this and still enroll the child.
Photos and video
separate. Each parent or guardian chooses Yes or No. Photos of a child are on only when a parent said yes and no parent or guardian said no: one parent’s yes does not override another’s no. While photos are off, there are no new photos of that child, and families no longer see earlier ones in Ashby, group photos included; staff still do, until the program deletes them under its rules. They show again for families when photos are back on. Copies a family already saved stay with them.
Extra sharing
separate, and the same Yes or No rule as photos. This is not the hosting needed to run Ashby. You can refuse it and still use the account.
