What needs attention attention

Home lists things that need a look. Some you can hide. Licensing items stay.

Requests to join

Needs attention shows parent and staff access requests you can review. Open Children or Team → Access requests, confirm the person, and approve an invitation or decline. Printing the school join code is an optional Getting started task.

What this is

Home is where you start the day. The numbers under the greeting say how many children are here, and Needs attention is the list of things that still need you. It is not email, and it is not a message to a parent.

Do this

  1. After you sign in, open Home from the left menu. The numbers at the top show today: children here, adults clocked in, daily reports shared and unread messages.

  2. To start a job, tap a shortcut under the numbers: Check in, Post a photo, Message parents or Daily report.

  3. Under Needs attention, tap a row to open the screen that fixes it. The number beside Needs attention is how many things still need you.

  4. To hide an optional row — for example, unpaid tuition bills — open the three-dot menu (⋮) at the end of the row and choose Hide. Required reminders, such as shots, stay until they are done.

How it works

Hey Ashby, the chat, is part of Ashby for everyone, so there is nothing to turn on. Tell it what you need in your own words: add a child, take attendance, message parents. Hey Ashby uses Google’s AI. Ashby hides names and holds back health and incident details first. Put private details in the forms.

Facility records that are missing, unreviewed, expired or due stay in Needs attention. This includes selected facility checklists for licensed and registered Texas homes, plus two selected records for ordinary listed homes with a current School permit applicability review; other home requirements still need separate review. Open Compliance checks to review the original documents. These required reminders cannot be hidden.

Schedule requests include family care-hour changes and staff time off that you may approve. Time off opens Staff → Schedule with the Time off list showing: choose Approve or Decline on each request. Care-hour changes open Calendar → Care hours.

Your shift shows your clock status: Not clocked in, Clocked in, On break or Needs review. Choose your working room, then Clock in. The button becomes Clock out, with Start break beside it. Your current shift stays visible even when you select another school. Staff → Who’s working has room changes and clock history. Staff → Hours worked has hours review and export.

Staff hours need review flags clock entries that need correction, shifts still open after 18 hours (a helper who stopped working here while still clocked in too), and completed timesheets waiting for your review. The row opens Staff → Hours worked, with Include inactive staff ticked when someone who no longer works here is behind it; their row offers Add clock out. Ashby never closes an open shift with a guessed time.

Record review counts enrolled children whose files have missing, unreviewed, expired or due licensing records. The row opens Children showing only those children: tap Mark on file, then tick the records you checked and the children they are for. To review one child, tap their name, then Licensing records. The reminder has no Hide action.

Texas center staff files need review when required records are unreviewed, missing, expired or due. The grouped reminder opens Team and cannot be hidden.

Room coverage checks actual attendance against school staffing and room limits. Missing assignments or settings also need review. Coverage checks stay visible until fixed; open Attendance to arrange coverage. In-home daycares do not get this reminder: their Attendance shows Home supervision instead.

Ashby checks a short list when you open Home. What you see depends on your job. We watch these things today:

Website inquiry needs a reply
an adult contacted the school through its website. Open Enrollment to reply, then set their status to Waiting for a place or Place offered. Hide is just for you; a new inquiry brings the reminder back.
Enrollment form waiting
a parent sent in the child’s details and you still need to approve or send it back.
Parent invite sitting too long
a parent link has been waiting more than a week.
Offered spot with no invite
you admitted a family and have not sent them a link yet.
Tuition billing
bills not paid yet (how many are past due), and children whose tuition billing needs a look: not started yet, something to fix, or past its last billing day. Only if your job can see billing. The row opens Tuition.
Child file will be removed
a child left or graduated and the hold period is running. Open Children to keep the file or remove it now.
Still checked in from an earlier day
a child was checked in on an earlier day and nobody checked them out. The row opens Attendance at the child’s daycare and group, with Fix time open on that child, so you add the time they went home. Only the owner, org admin, director and assistant director see it, and it cannot be hidden because the sign-out record has to be complete.
Child file hold needs review
the school’s Review by date has arrived. Open Children, then How long the file is kept on the row menu or under Children who left. The file stays held until review; this reminder cannot be hidden.
Immunization status
a Texas location is missing shot status on a child still in care. You cannot hide this.

Your school’s day

The numbers at the top add up all locations you can access. Children here shows how many children are checked in out of those enrolled, such as 5 of 9 enrolled, with one dot for each child and a line such as 2 not here yet · 1 absent · 1 went home. Enrolled means currently enrolled as of today; future and ended enrollments are left out. These counts come from attendance records, not planned schedules, so a child who does not come on a given day still counts as not here yet. A child still checked in from an earlier day is not counted as here until their check-out is added, the same as Attendance. Educators see assigned rooms only. With more than one location, See each location lists each location with its total and its room counts as checked in / enrolled (0 / 4 means none of four enrolled children are checked in).

Adults shows how many staff are clocked in; Home does not judge room staffing or ratios. Daily reports shows how many of today’s children have a shared report, with Send the last few. Messages counts all unread conversations you can access across your locations, with Read and reply. You see only the numbers and shortcuts your job can open. Coming up shows ongoing and upcoming published events and closures with their dates (titled Today while something is still happening today), or the next events within seven days. Dates use the location’s timezone.

Needs attention covers your permitted locations. The location you choose on the school card at the top of the menu changes the calendar and Your shift; the numbers at the top keep all your accessible locations. Home refreshes every minute while visible and when you return. A section that cannot load says so with Try again under it, and the others keep working.

Getting started appears on Home until you add the first child (an in-home daycare keeps it until each first-week step is done or not needed). It shows your next step with its button and a bar with how many steps are set up; an in-home daycare can open the whole list with See all steps. View your setup and Hide this guide sit at the bottom of the card; open the full guide from Help → Getting started. The full guide has three visible cards: Essentials, Payments, and Additional features. Tap a task row to open it. Optional tasks can be set aside. Food program and School administration links do not count toward progress. It does not add to the Needs attention count. The number beside Needs attention is how many rows are on that list; Home in the menu has no number. Unread conversations are counted separately and do not add to it: Messages in the menu shows how many, and the Messages button beside the page title (at the top on a phone) has a dot.
